A paper-check-dependent payment cycle created predictable cash drag around closing periods. Revenue was being collected, but settlement and reconciliation lagged, creating a liquidity squeeze that did not need to exist. Manual outreach had already reached its limit. At a database scale of more than 50,000 Accounts Payable contacts, the work needed a repeatable communication engine with consistent quality and customer-relevant messaging.

What changed in the operating system?
A VBA and macro-based outreach engine was built to run personalised, benefit-led ACH adoption campaigns across the Accounts Payable contact database. The messaging was framed from the customer perspective: speed, accuracy, convenience, and reduced payment friction. The workflow made repeated, controlled, high-volume outreach possible without absorbing collections capacity.

What moved?
Check adoption fell and ACH adoption rose. Cash arrived faster, payment application became more accurate, and the quarterly liquidity squeeze that had defined the closing cycle was removed as a recurring operating pattern.
